Makalu Travels accepts booking subject the following conditions. These expressly stated conditions provide a platform, applicable as a part of a contract with you.
1. Booking Contract
When the tour operator issues a written confirmation, the booking is confirmed. Please check the confirmation carefully and report any information that might be incorrect or incomplete. The names should be exactly as in the passport. Unless confirmed by us, no refund, discount etc. will be provided from our side.
2. Securing the booking
To secure the booking, a deposit of about 10% of the total trip price per person should be done. If any supplier requires an extra amount of pay, a higher deposit will be applicable. The applicable deposit will be confirmed at the time of booking and the following conditions should be agreed upon:
- Clients have read and accepted the risks involved in the adventure activity to take place.
- Pre-existing medical conditions should be informed and involved in part of the client.
- Clients have read and accepted all the Booking Conditions and General information pages.
- The person making the booking should be at least 18 years of age and should have full authority to enter into a contract on the basis of these conditions.
3. Booking on behalf of others
You will be deemed to be the designated contact person when you book on behalf of other participants. You will hence be responsible for making all the payments due, in connection with the adventure activity to take place. You are also responsible for keeping your party informed about the adventure activity.
You should also present a warrant that you have obtained the required consents. The information you provide should be complete and accurate and the Tour Operator will not be responsible for any misinformed issues.
4. Payment for the trip
The balance of money due must be obtained by us or our authorized travel partner 60 days prior to the start of the trip. Full payments are required for some trips. We reserve the right to treat your booking as canceled if no information or money is obtained at the required date. Cancellation charges may apply in the case of cancellation of an activity.
5. Changing booking
The previously confirmed booking can be changed or transferred without any charge up to 60 days prior to departure. Changes are however subject to availability. Under reasonable conditions, when you are unable to travel, the booking can be transferable to another person up to 60 days prior to departure. All costs or charges incurred must be cleared out before making the transfer. Overdue balance payment must also be done prior to the transfer. For flight inclusive bookings, the airline charges should be paid in accordance with the airline involved.
6. Canceling the booking
Wishing to cancel the booking will include the depreciation of booking charges. The calculation of the cancellation charges is done from the day of written or verbal notification. A certain percentage of the total trip price will be paid as the cancellation charge. The cancellation terms and conditions are:
- 60 and more days before start date- loss of deposit.
- 59-42 days before start date- loss of 30% of the total trip price.
- 41-28 days before start date- loss of 60% of the total trip price.
- Less than 14 the days before start date- loss of 100% of the total trip price.
7. Medical the Information
Any medical information requested by the Tour Operator must be provided as long as the question is reasonable. Medical Forms are mandatory for certain adventure activities as they might impact the ability to travel to remote areas without access to medical facilities. You agree to complete the Medical Form honestly and disclose all relevant information. The Tour Operator ensures compliance with the Privacy Policy to keep your information safe.
Pregnancy is a medical condition that must the disclosed to the Tour Operator at the time of booking. You are the person responsible for accessing whether a tour is suitable for you. You should consult a physician before joining a trip and take necessary vaccinations and medical precautions.
8. Other requirements
Other requirements must be disclosed to Tour Operator at the time of booking. Responsible efforts will be carried out on part of Tour Operator, in order to accommodate your special requirements and requests. However, this is not always possible as the travel activity requires traveling to remote locations.
You should also clarify about any food allergies and dietary restrictions to the Tour Operator or the Tour Operator is not liable for any failure to accommodate other requirements into the travel plan.
9. Age Requirements
Anyone under the age of 18 will be considered a minor and should always be accompanied by an adult. One adult may accompany up to two minors. The minimum age for traveling for minors is 12 years.
Booking of minors is subject to review on the part of the Tour Operator. If consent on part of a parent or a guardian is required, then it should be provided as per the rules and regulations. The adult associated with the minor is fully responsible for the behavior, well-being, and supervision of the activities of the minor. The tour operator does not provide care services for minors.
10. Insurance requirements
You must possess a travel insurance with medical, evacuation and repatriation coverage of about 200,000 US dollars. The insurance must cover injury and emergency medical needs. The Tour Operator will verify if you have the sufficient insurance in place. You are also strongly recommended to extend the coverage to include curtailment, cancellation, delay, inconvenience, injury and delay while traveling. Insurance coverage is not included in the cost of any adventure activity and must be obtained separately.
11. Change of prices and taxes
The published price of the Tour and services offered by the Tour Operator is subject to change anytime within 30 days before departure. The Tour operator reserved the right to impose extra service charges from the one mentioned in the booking details. If the increase in price is greater than 7% of the original price you can:
- Choose to cancel the applicable booking without any penalty.
- Accept the change of price.
Reduced pricing can also be made available on certain products or bookings. Bookings, where payment of deposit has already been obtained, is not entitled to reduced pricing.
12. Airfare
Tour prices do not include the international and other airfare unless explicitly mentioned in the descriptions of the concerned tour. The Tour Operators acts only as a sales agent in the air carrier.
13. Trip participations and client responsibility
You agree on to accept the decisions made by the Tour Operator and you agree that all decisions made are on the part of your health, level of fitness and conduct. No costs incurred as a result of the exclusion will be paid by us and no refund shall be provided for unused services. You should also ensure that you carry the appropriate documents along with you when taking part on the tour. It is mandatory that you carry a valid passport, all travel documents required by the relevant governmental authorities, visas, permits, certificates and insurance policies. You have the full responsibility of obtaining these documents and cost incurred as a result of the loss of these documents.
14. Our Responsibility
The booking of the trip is accepted on the understanding that you accept the possible risks associated with the adventure activity and accept the adventure activity on your own volition.
We assure that the travel arrangements we have agreed to make will be applicable as part of the plan of your trip. We accept the entire responsibility for the contract we have undertaken and we will be responsible for what your agents, employees, and suppliers do.
We will not be responsible for injuries, death, and illness as well as loss of possessions, damage, expense, cost or other sum resulting from the act(s) and omission(s) from you or a member of your party. We are also not responsible for third party suppliers and their activities.
We can also not accept responsibility for any activity or service that has not been a planned part of the trip. Any optional excursions do not form part of your contract. These excursions are carried out by local operators or their providers.
15. Brochure/ Website accuracy
The information we present to our clients is deemed to be correct to the best of our knowledge. Adequate checks are carried out during the time of publishing the documents. However, we apologize for the errors that might still be crept in the content of your website/ brochure. Check all details of your chosen trip before ensuing on the adventure.
